Cancellation & Refund Policy - Full refund: Clients who cancel at least 72 hours (3 days) before their scheduled appointment are eligible for a full refund of any prepayment or deposit. - No refund: Cancellations made less than 72 hours before the appointment are not eligible for a refund. - No-shows & late arrivals: No-shows and clients arriving more than 15 minutes late are treated as cancellations made within 72 hours and are not eligible for a refund. The clinic may, at its discretion, reschedule based on provider availability. - Rescheduling: Rescheduling with at least 72 hours’ notice preserves eligibility for refund or to transfer the prepayment to the new appointment date. Reschedules made with less than 72 hours’ notice may forfeit the deposit. - Exceptions: Medical emergencies and documented unforeseen circumstances may be considered for exception; requests must be submitted in writing with supporting documentation. Approval of exceptions is at the clinic’s sole discretion. - Refund process: Approved refunds will be issued to the original payment method within 7–14 business days. - Deposits: Deposits secure appointment time and are applied to the total service cost. Deposit amounts and whether they are refundable follow this policy. - Changes by clinic: If the clinic cancels or significantly changes an appointment time, clients will be offered a full refund or alternative appointment. - How to cancel/request a refund: Cancellations and refund requests must be made via [phone number] or [email address] and include the client’s full name, appointment date/time, and confirmation number when available. - Effective date: This policy is effective as of [effective date]. The clinic reserves the right to update the policy; current policy on the website prevails.
